About the project

We developed a digital HR self-service platform for an industrial workforce, enabling employees to manage routine HR processes and access employment documents through a secure web-based system.

The platform was integrated with existing personnel and payroll systems, allowing relevant employee information to be synchronised with the portal rather than requiring HR teams to maintain a separate employee database.

The solution brought together employee self-service, document submission, payroll access, secure authentication and HR workflow management within a single platform.

The need

For a manufacturing workforce, routine HR processes can generate a significant administrative workload when requests and documents are handled manually.

Employees needed a practical way to:

  • Submit leave requests
  • Submit advance requests
  • Send supporting documents to HR
  • View their payslips, including previous periods
  • Access HR-related information digitally
  • Submit requests without relying on manual paperwork

For HR teams, the objective was to reduce repetitive administrative processes while providing a more structured way to receive and process employee requests.

The solution

We developed a bespoke employee self-service platform connected to the existing personnel systems used within the manufacturing environment.

Employee information held in the existing systems is synchronised with the platform, allowing the portal to operate using the organisation’s existing personnel data.

The platform provides employees with access to their own HR services and documents, while providing an administration interface for authorised HR personnel to review and process submitted requests according to defined access roles.

Employee self-service

Employees can use the platform to manage a range of routine HR processes digitally. These include:

  • Leave requests
  • Advance requests
  • Submission of supporting documents
  • Submission of medical certificates and other relevant documents to HR
  • Access to current and previous payslips

This replaces a number of manual interactions with a structured digital workflow.

Secure employee access

The platform uses SMS-based OTP verification linked to the employee’s registered mobile number. This provides an additional authentication step beyond the employee’s username and password.

The approach was designed to provide practical secure access for a large industrial workforce, including employees who may not have a dedicated corporate computer or email account.

HR administration

A dedicated administration interface allows authorised HR personnel to review and process employee requests submitted through the platform.

HR personnel can receive notifications when new requests or supporting documents are submitted and manage the relevant workflow through the administration interface.

This provides HR teams with a centralised view of submitted requests rather than relying on individual paper documents or separate manual processes.

Integration with existing systems

The platform was designed to work alongside the existing operational environment.

Employee information is synchronised from existing personnel systems, reducing the need to maintain the same information separately within the employee portal.

The objective was not to replace the existing systems, but to provide a digital employee-facing layer connected to the information already maintained by the organisation.

From paper-based processes to digital workflows

The platform significantly reduced the need for physical payroll distribution.

Instead of printing and physically distributing payslips to employees on a recurring basis, employees can access their payslips digitally, including previous periods.

This reduced the administrative workload associated with payroll distribution and significantly reduced the associated paper and printing requirements. It also helped reduce privacy risks associated with physical documents being misplaced or left where they could potentially be viewed by others.

Operational impact

The platform helped move routine HR processes from manual, paper-based interactions to structured digital workflows.

Key outcomes included:

  • Manual preparation and distribution of payslips was replaced with digital access
  • Employee leave and advance requests became digital workflows
  • Submission of supporting documents to HR was digitised
  • Employee information could be synchronised from existing systems
  • Repetitive HR administration was reduced
  • Paper and printing requirements associated with payroll distribution were significantly reduced
